May 19, 2020: Reimbursements

Letter from Our Chief Accountability Officer

Dear Parents & Families:

Kent School District (KSD) has begun assessing and working through the process of reimbursing school fees or event payments made for second-semester activities that were impacted by the COVID-19 restrictions.

Families may begin to see payment reimbursements or credits starting the week of June 18, although reimbursements may occur in stages throughout the month of May and early June. Reimbursements will take the form of an account credit, credit card credits, or a paper check for those seniors without siblings currently registered in the school district and elementary families as needed. The timing will depend on several factors, including the type of fee that was paid, if the product or service was related to ASB, as well as the amount of the credit or reimbursement.

It is important to note not all fees are being reimbursed, particularly in instances when the event or activity already occurred, ASB guidelines do not allow, or the event is occurring in a revised form.

Thank you for your patience and cooperation during this most challenging time.

Frequently Asked Questions

How will family reimbursements be supported?

Families may begin to see payment reimbursements or credits starting June 18, although reimbursements may occur in stages throughout the month of May and early June.

The reimbursements will take the form of an account credit, credit card credits, or a paper check for those seniors without siblings currently registered within school district and elementary families as needed.

The timing will depend on several factors, including the type of fee that was paid, if the product or service was related to ASB, as well as the amount of the credit or reimbursement.

What types of school fees and payments will be reimbursed for elementary students (grades K-6)?

What? KSD intends to reimburse student fees and field trip/event-related payments if those items or events were not provided or occurred. This will be based on a dollar threshold defined.

How? All total family reimbursement of $50 or more will be sent via check to each family.

For those under $50, KSD will credit the family the reimbursement at the start of the 2020-2021 school year in September within the online school payment system. If the reimbursement amount is less than $50, and a check is needed, KSD will accommodate as each family coordinates this with the school office manager prior to June 18.

What types of school fees and payments will be reimbursed for secondary students (grades 7-12)?

What? KSD intends to reimburse second-semester class fees and field trip/event-related payments if those events did not occur. ASB fees will also be reimbursed if the item or services was not provided to the family in accordance to the ASB guidelines and by-laws for each school.

How? Credits will be placed within TouchBase as a credit on the account to all students if paid by cash or check. Credit card payments will be credited to the credit card used.

What About Seniors? Seniors that are the last of their family to attend a KSD school, will be provided a check later in June once any applicable fines are assessed. Credits will be available for other family members (elementary and secondary) to use as needed within the upcoming school year.

Who do I contact if I have questions related to the reimbursement process or my specific reimbursement?

What will happen to a check I have submitted prior to the end of March that has not been cashed?

KSD will void these checks and send out letters of confirmation once this has occurred.
